vcita is a business management and invoicing system that helps small businesses (SMBs) to handle client scheduling, communication, and payments.
Overview
vcita’s legacy invoicing system allowed unlimited edits, a flexible model built for US users, but illegal under European compliance laws requiring unchangeable documents.
To enable EU expansion without breaking the experience for our core US market, I led the UX effort to rebuild our billing workflow. We mapped tax regulations, researched European SMB workflows, and shipped a localized dual-market ecosystem. The result unlocked key EU partnerships while preserving US user retention.

The Challenge
We had to solve three system challenges to make the product legally compliant:
Logic
Safely locking down invoice data once it is issued in a system built for infinite edits.
Adoption
Onboarding active EU businesses to compliant workflows without breaking their historical accounting data.
User experience
Designing a guided workflow for business owners with zero accounting knowledge that actively prevents compliance errors.
Research
We needed to understand how European business owners actually handle billing corrections in their day-to-day operations.

Most users don't understand technical accounting terms like "credit note", they simply want to fix a billing mistake quickly. Automating balance calculations behind the scenes gave users immediate confidence to complete tasks correctly.
The takeaway
Compliance shouldn't require an accounting degree. We shifted the burden from the user to the system by automating complex calculations and keeping legal logic entirely behind the scenes.
The Solution
To comply with EU regulations, the solution touched every point in the invoice lifecycle, from first-time setup to issuance, crediting, and refunds.

Contextual Onboarding
Invoice setup is triggered only at the moment of first invoice generation, not during signup. A live preview prompts users to set starting numbers and prefixes right when it’s relevant, eliminating unnecessary upfront friction.

Issuing Invoices
Because compliant invoices are permanent, I replaced single-click generation with a simple two-step confirmation. This deliberate pause prevents costly legal mistakes, locks the record, and surfaces the "Add credit note" option only when needed.

Crediting
I translated our research takeaways directly into a completely new credit note form experience.

Explicit ReferenceAnchored the original invoice reference at the top of the form layout, keeping legal and historical context visible throughout the flow.

Pre-fills all line items automatically for unpaid invoices, letting users issue a full credit in a single click.

Inline Table Editing
Built item editing directly inside the table layout. This pattern was later added to vcita's central design system for platform-wide use.

Built system logic that blocks any credit amount exceeding the remaining balance, preventing accounting errors before submission.
