Independent Client Onboarding – UX Design



Introduction

January 2024
Swapp.ai was transitioning into a SaaS platform, making self-service a core part of the first user experience. This project focused on designing a self-service onboarding flow to help new client firms reach meaningful product usage early. I led the UX design and defined the onboarding happy path, resulting in wireframes for the proposed flow.



Roles and Responsibilities

  • Ran UX research to identify onboarding gaps and risks
  • Led the UX design of the firm onboarding flow




Users & UX Challenges

Primary user: Firm Admin
First user in the system, responsible for firm setup, permissions, and inviting teammates. Goal: get the firm running quickly, with minimal guidance.

Secondary users: Team members

Key UX challenges
  • Enable fast setup without losing accuracy
  • Reduce cognitive load during first-time use
  • Support an asynchronous flow where steps can be completed out of order
  • Prevent early drop-off from long or rigid flows
Given these constraints, the onboarding was designed around the Admin experience first, as it defines onboarding quality for the entire firm.
